Print management and accounts

Proof & Print print management services give multi-branch firms and agencies one consultant who knows your brand, approved masters kept on file, and orders that can be split across branches and paid on account, with net-30 terms on approval. Account clients pay the same prices as the price book. Without that, print ordered from several offices by several people drifts: an old logo on one branch's cards, a different blue on another's signboards, a reorder that nobody can trace back to its approved file.

What does a print management account include?

  • One consultant for the whole account. The same person handles every branch's orders, knows your brand standards and checks each new item against them.
  • Approved masters on file. Once a design is approved, we keep the print-ready file and its specification on record, so every reorder prints from the same approved master.
  • Reorders by request. Tell us what has changed, such as a new staff member's card or a new branch address, and we send a fresh proof for anything new. Unchanged items reprint from the approved file.
  • Split delivery to branches. One order can be packed and labelled per branch and sent to several metro addresses, at $35 inc GST for each additional address.
  • Storage and scheduled reorder. For $29 a month inc GST, we hold your approved artwork and up to four cartons of stock and reorder on a schedule you set. Billed monthly, 30 days' notice to cancel.
  • Net-30 terms, on approval. Net-30 terms are available on approval, subject to a credit check. Pay-on-order and net-14 are also available.
  • The same prices as everyone else. An account changes how you order and pay, not what each item costs. Our pricing page applies.

How do multi-branch and franchise print rollouts work?

A multi-branch rollout is specified once, proofed name by name against each branch's list, approved centrally or by branch, and packed and delivered per branch.

A rollout is where print management earns its keep. Rebranding twelve offices, opening a new region or moving a franchise to a new identity means the same items, in the same colours, arriving at many addresses with the right names on them.

Here is how we run one:

  1. Specify once. Your consultant agrees the stock, finish and layout for each item with your brand or marketing lead, and records them as the account's standard.
  2. Collect the lists. Each branch supplies its names, titles, licence numbers and delivery address, or you upload one list for the whole group.
  3. Proof every name. A person checks each design against our 12-point checklist, including names and titles against the list you supplied. We flag differences; we never silently change them.
  4. Approve centrally or by branch. You decide who signs off: one central approver, an approver in each branch, or a purchase order number on every order.
  5. Pack and deliver per branch. Each branch's items are packed and labelled separately and sent to its address.

How do approved masters keep branding consistent?

Every approved design is kept on record with its specification: stock, finish, quantity and, where you have ordered a brand colour match, the recorded colour values. When a branch reorders, we print from that file, so the colours and layout stay the same from one order to the next.

If your brand changes, your consultant updates the masters, sends new proofs and marks the old files as superseded on your account record, so a branch asking for the old version is pointed to the new one.

How do account clients reorder print?

Account clients can reorder through the reorder request page or by emailing their consultant. Your consultant confirms the price and dispatch date by reply, and sends a proof for anything that has changed.

What payment terms are available on account?

  • Terms. Pay on order, net 14 or net 30. Net-30 terms are available on approval, subject to a credit check, and we ask for your consent before running one.
  • Purchase orders. If your business needs a PO number on every order, we record it on the invoice.
  • Invoices. Each order is invoiced, with the branch and PO number shown. Your consultant can raise a separate order for each branch.
  • Consolidated invoicing (phase 2, coming). A single monthly invoice across branches, per-branch billing and spend reports will come with our client portal in phase 2. They are not available yet, and we will tell account clients when they are.

Which account features are planned for phase 2?

A client portal, an approved print library, staff cards generated from a list and branch-level ordering are planned for phase 2 and are not available yet. We would rather tell you what exists today than promise a portal we have not built. In detail:

  • A client portal with your order, proof and invoice history in one place
  • A library of approved print, with reorder from a thumbnail
  • Staff cards generated from a list, with automatic proofs for each new name
  • Branch-level ordering with approval rules, consolidated invoicing and spend reports

Until then, your consultant does each of these by hand, and keeps the records.

Questions

Something else? All questions or ask your consultant.

Who is an account for?

Businesses that order print regularly or across more than one office: real estate groups and franchises, multi-office firms and practices, corporate marketing teams and developers running several projects. If you order once or twice a year, paying at checkout is usually simpler.

How do net-30 terms work?

Net-30 terms are available on approval, subject to a credit check. We ask for your consent before running one. Once approved, your consultant invoices each order on your terms rather than taking payment at checkout. You can also request pay-on-order or net-14 terms.

How long does an application take?

The application takes a few minutes. We aim to review it within 2 business days, then your consultant books a short setup call to confirm your branches, approvers and approved masters.

Do account prices differ from the prices on the site?

Account clients pay the same prices as the price book. An account changes how you order and pay, not what each item costs. Runs above a product's largest listed quantity are tendered and quoted in writing, as they are for everyone.

Can you invoice each branch separately?

Today each order is invoiced, and your consultant can raise separate orders for each branch with that branch's purchase order number. Consolidated invoicing, per-branch billing and spend reports through a client portal are planned for phase 2 and are not available yet.

What does storage and scheduled reorder cover?

For $29 a month inc GST, we hold your approved artwork and up to four cartons of stock, and reorder on a schedule you set. It is billed monthly, with 30 days' notice to cancel.

Is there a fee to open an account?

Applying costs nothing. Your consultant will confirm any account terms in writing before your first order on account.
